You want to connect Hubspot with LoneScale but don't know how? I'm here!
First of all, here are some good practices to connect your CRM with an automation tool like Zapier:
Always begin with Company steps
Following up with People steps
Then, configure Lead or Deals steps
If needed, finish with Notes or Activities steps
In our scenario, we will begin with "Finding a Company", and then "create a Lead"
Let me walk you through each step ⬇
1️⃣ Set up the first step: Find Companies in Hubspot
☀️ Select your CRM by tapping Hubspot
Type the name of the Action: "Find Company"
Click on "Continue"
☀️ Select your Hubspot account
Click on "Continue"
☀️ Select the Hubspot field that you would like to use to find the Company in your CRM.
By default, it's that name that is selected. It could be less precise to find a match than others fields. Why? Because a name can be written in capital letters, with spaces or multiple symbols and signs.
For example, I can write PWC or PricewaterhouseCoopers or Pricewaterhouse Coopers or P.W.C, etc.
At LoneScale, we advise you to choose unique fields such as website, domain, or LinkedIn Url. However, these fields will only work if they are filled in correctly and in sufficient quantity in your CRM.
If you need help on data enrichment, feel free to ask LoneScale team. We are able to enrich companies with multiple data thanks to our Performance features.
In this tutorial, we will use the "Name" field.
Choose "Company Name" as shown below.
☀️ Catch fuzzy matches and create Company if it doesn't exist
To be sure to catch more fuzzy matches, we will set the parameter "Search for an Exact Match" to "No".
We will also check "Create Hubspot Company if it doesn't exist yet?" to be sure to not lose a company that isn't in Hubspot yet.
Tips: I can also add a Second search property value as the company website
☀️ Set any other Company' field that you would like to enrich in your CRM
For example, I will set:
Company year of foundation
Company name
Company Linkedin URL
Then click on "Continue".
☀️ Test the first Action you made by clicking on "Test & Continue"
A sample will be sent by Zapier to your CRM.
⚠️ Skip test isn't advised. If you did it, no sample will be sent to your CRM and you'll have difficulties in the next steps. For example, you won't be able to attach People, Lead, Deals or Activities to the Organization you had just found or created.
2️⃣ Find or Create Deals in Hubspot
☀️ Type the name of the Action: "Find Deal"
Click on "Continue"
☀️ Select your Hubspot account
Click on "Continue"
☀️ Set search property
To find if the deal has already been created, we need to look up precise criteria as the Deal's name.
=> Set Title field
To have precise information in the title, I make it with "Job Name" @ "Company Name" in "Location" on "Date".
⚠️ You can do whatever you wish, just try to use a title that will make each Lead different. For example, if you use only "Location", it will become chaos!
☀️ Create Hubspot Deal if it doesn't exist yet
Check the box " Create Hubspot Deal if it doesn't exist yet"
☀️ Complete details for the deal
Two are required:
Deal Pipeline
Deal Stage
Complete any other field that you wish
⚠️ To be able to identify Deals coming from LoneScale, we advise you to create a Deal Stage in Hubspot. You can name it for example "LoneScale".
Then click on "Continue".
☀️ Test the Action you made by clicking on "Test & Continue"
A sample will be sent by Zapier to your CRM.
3️⃣ Set "Associations"
In Hubspot, to be able to link a Deal with a Contact and a Company, you need to set an Action named "Associations"
☀️ Type the name of the Action: "Associations
Click on "Continue"
☀️ Select your Hubspot account
Click on "Continue"
☀️ Set up your Associations
You want to link....
a Deal with a Company, choose "One" in the field "Number of association types you want to search"
A Deal with a Company and a Contact, choose "Two" in the field "Number of association types you want to search"
☀️ Set up the type of object to associate
Choose the type of object being associated, here it's "deal".
Then choose the ID of the deal that you Found or Created in previous steps :
☀️ Set up the objects to associate
The following steps are the same for each association that you make.
A. Contact
Choose the type of the object to be associated with object "Deal": contact
Choose the type of the association: deal_to_contact
Select the contact's ID Fund or Created in the previous steps
B. Companies
Choose the type of the object to be associated with object "Deal": Company
Choose the type of the association: deal_to_company
Select the company's ID Fund or Created in the previous steps
Then click on "Continue".
☀️ Test the Action you made by clicking on "Test & Continue"
A sample will be link by Zapier to your CRM.
4️⃣ Save the Sales Intent detected by LoneScale in a Note
☀️ Type the name of the Action: "Create Engagement"
Then click on "Continue".
☀️ Select your Hubspot account
Click on "Continue"
☀️ Choose the type of Engagement Type
In this tutorial, we will choose a Note. Feel free to choose what is the best for you.
☀️ Set Engagement' field that you would like to enrich in your CRM
Here, I write details in;
Note Body as Company Tools or Job Description
Link the Engagement with a Contact thanks to the contact's email from previous steps. (Could work with ID or other data).
Link the Engagement with a Company thanks to Company's ID from previous steps.
Link the Engagement with a Deal thanks to Deal's ID from previous steps.
Then click on "Continue".
☀️ Test the Action you made by clicking on "Test & Continue"
A sample will be sent by Zapier to your CRM.
5️⃣ Click on the Toggle button "On/Off" to turn your Zap on and watch the magic happen! ✨
6️⃣. Check-in your Hubspot if it worked ✅
⚠️ Don't forget to activate your "Webhook connection" on Lonescale.
Click in the column "Actions" on the toggle. If it becomes blue, it worked!
